Letter to parents/carers regarding coronavirus impact on subscriptions

Help us keep our movement going. It’s never been so important for our young people.

Dear parents and carers,

These are challenging and uncertain times for us all.

While we aren’t meeting face to face (to keep everyone safe) it’s more important than ever to make sure that we can continue into the future.

Help us meet our essential costs.

Unfortunately, we still have fixed costs, which we have to pay, whether we’re meeting face to face or not. To help us cover these, we’re asking if all parents and carers could continue to pay their monthly subscriptions of £8 for the first child, and £6 for all other children in a family. This will help cover our essential costs over the next few months. It will mean that we can still be here ready to welcome your children back when the crisis passes. It also means that for those that can’t afford to contribute as a result of the current crisis, can be supported by us all.

We know that some families are facing significant financial challenges at the moment. If you are in a difficult position, please let us know as we do not wish to cause any further financial hardship, including sending out reminders for unpaid balances. We understand it is not easy to talk about money, particularly when things are very tight, but please do let us know – this information will be kept private and confidential.

Some people do have outstanding balances and we would encourage families to pay these if they are in a position to. If you are unsure if you have a balance, then please get in touch and we will be more than happy to discuss. Again, we know that some families are facing significant financial challenges so do let us know if this is the case so that we don’t add to your stresses at this unpredictable time.

Our fixed costs include our rent, utilities, insurance, fixed contribution to district campsite and costs incurred at a national level (covering vital services such as insurance and safeguarding support). All of these still need to be paid.

As you’ll know we are a local charity, run by unpaid volunteers, as well as being part of a national membership organisation. We rely on income from parents and carers to keep operating. By supporting us financially now, we can make sure our Scout Group is still here for your child when these challenging times have passed.

How to make your contribution.

You can pay in any of the following ways:

  • Through a PayPal monthly subscription, or one-off payments. This is our preferred method. To do this visit the bottom of this page.
  • Payments into our bank account – Please ask if you would like these details

Why your support matters.

The Scout movement is so important to your child and to our community. Our Group is entirely run by unpaid volunteers, and by supporting each other during this challenging time, we can make sure we can continue in your area to support your child and future members. Our programme of fun, adventure and #SkillsForLife help shape individuals to have the tools for whatever they may face in the future.

  • Our Private Facebook Group for parents and carers of members – Our private Facebook group for parents and carers of members where you will find details of our virtual meetings, activities that can be done at home, what other members have been up to and much more
  • Our virtual meetings – each Monday we will host virtual meetings for Hedgehogs, Beavers, Cubs and Scouts to come together, share what they have been up to, have opportunities to interact with other members, learn skills and take part in activities that are linked to badges that can be earned whilst at home. The meetings are secure and only accessible by members with the correct link and password. They can be accessed through a mobile phone, tablet, computer or by phoning into the meeting. Access details and programme are found on our private Facebook group, but if you don’t use Facebook, let us know and we will get the details to you in an alternative format
  • The Scout Association: The Great Indoors – A collection of over 100 fun activities to help them have fun and keep learning

Following my last letter regarding subs we have had more people sign up to make regular payments through PayPal and one-off payments to clear any historic fees, in addition to some people contacting us to explain their current financial situation during this pandemic.

However, we still have a few people with historic fees or have not made any contact. Please could I ask that:

  • You make payment for any historic fees – details of which can be obtained by contacting me
  • Set up a payment for future months if you are financially able to at this time – details are overleaf on how to set up monthly payments and how to make one-off payments
  • Contact me to discuss your situation if you are in a difficult position as we do not wish to cause any further financial hardship, especially as this can sometimes support our applications for other funding avenues

We want to help all our members benefit from scouting, so overleaf you will find details of what we are still offering, even though we cannot meet in person. We would love some feedback on how these sessions are going, so please get in touch. If your child joins in with activities over zoom or by posting in our group, or sending details into myself they will be working their way through badges!

As a group, we need to cover the cost of equipment and the running costs. There is also an annual membership fee paid to UK Headquarters for the day to day running of the Scout Association, that includes insurance for all members, and this is what the bulk of the monthly subscriptions goes towards. In addition to these costs, there are the costs of running a meeting (rent, resources, activities, etc); group resources (equipment, camping gear, etc); and section resources (uniform, badges, etc). All adults that are involved in scouting are volunteers and give their time up freely with no expectation of remuneration. As you can imagine, these costs soon add up, for example, the average cost of each badge is 90p and per year we spend over £750 on badges alone.

We have been able to secure some funding from the Manor and Castle Ward Pot for our group enabling us to offer our subscriptions at a discounted rate for people who live in the Manor and Castle area. We aim to continue this through fundraising.

We have kept these costs as low as possible and spread them across the whole year allowing for lower monthly costs. The following are our current charges:

Standard cost:  £8 per month, paid all year round

Sibling cost:  £6 per month, paid all year round

These rates are only available for those living in the area, and a higher rate may be charged for those living outside the area. Payments can be made by cash, debit card, credit card, or via PayPal.

The subscription cost is payable on a monthly basis, even if your child does not attend a session, this is because of the expenses occurred to the group for that child’s place. We do put on extra sessions at no extra cost for every section. The easiest way to pay is through a regular payment set up through PayPal.

There will also be activities during the year such as events, sleepovers and camps that will incur additional costs. There will also be equipment lists for camps and hikes. We will give notice for additional costs but we recommend using a savings account such as with The Sheffield Credit Union, to put money aside for these costs.

We appreciate that money can sometimes be tight. We are keen to ensure that no child is excluded from any activity based on the cost involved. If you feel this may be an issue for you then please speak to your Section Leader or the GSL and there is a form you can complete to apply for a discount based on your circumstances.

Additionally, we are registered for Gift Aid so that we are able to claim 25 pence for every pound given from HMRC, to allow us to claim this for your subscriptions please ensure you complete a Gift Aid form.
